Freeholder payout report

The freeholder payout report lists every freeholder payout across all of your sites in a single view. Where the per-site freeholder income screen shows one site at a time, this report answers portfolio-level questions: how much has been paid out to freeholders this quarter, which payouts are still awaiting approval, and which sites they belong to.

Run the report

1. Open Reporting → Financial → Freeholder Payout Report.
2. The report loads across all sites by default. Optionally pick a single site to narrow it.
3. Optionally set a payout date range. Both boundary dates are included.
4. Optionally filter by status — draft, pending approval, approved, paid or void. You can select more than one.
5. Use search to find a payout by its reference or the freeholder's name.

What the report shows

Each row is one payout:

• Payout reference.
• Site.
• Freeholder.
• Payout date.
• Status.
• Total amount.

Optional columns show the payout's breakdown by income type — ground rent, admin fees and late payment charges — where the payout records it.

Summary totals

Above the table the report summarises the full filtered result set, not just the visible page:

• Total payouts — the number of payouts matching your filters.
• Total amount — the sum of those payouts.
• Void payouts and void amount — voided payouts, counted separately.

Export

The report exports to CSV, Excel and PDF using the Export button. The export respects your current filters and column selection and includes the totals row.

Where the figures come from

Payout amounts follow the income split configured per site — see Freeholder income and payouts for how ground rent, admin fees and late payment charges are apportioned between the freeholder and the managing agent.
