A budget is locked and I need to change it
Symptom
A service charge budget is in Locked status but you have identified a mistake or a change of plan.
Cause
Locked budgets cannot be edited because demands have been generated against them. Editing would retrospectively change what leaseholders were demanded.
Fix
- Do not unlock the original budget unless absolutely necessary.
- Instead, create a revised budget that supersedes the original.
- Open the original budget and click Revise.
- PropLink creates a new budget with the same data, pre-filled.
- Make the required changes.
- Submit and approve the revised budget.
- Use the revised budget for the remaining demands of the year.
The audit log records the revision, the reason and the relationship between the original and revised budgets.
Year-end implications
The year-end reconciliation uses the most recent approved budget for variance analysis. If you revise mid-year, the report shows the revision clearly.
Prevent it next time
- Take care to review budgets thoroughly before approval.
- Use the approval chain so a second pair of eyes catches mistakes.
