Email templates

Every transactional email PropLink sends runs through an editable template: invitation emails, invoice notifications, payment receipts, statement reminders, arrears letters, ticket replies. Templates live under Settings → Templates → Email templates.

What you can edit

For each template:

  • The subject line.
  • The body, with merge fields.
  • The logo and colours, inherited from your branding.
  • The signature block.
  • The reply-to address.

Merge fields

Templates use double-brace placeholders that PropLink replaces at send time:

Edit a template

    1. Open Settings → Templates → Email templates.
    2. Pick the template.
    3. Edit the subject, body or merge fields.
    4. Use the preview to see how the email looks for a test recipient.
    5. Save as a new version.

Versioning

Every save creates a new version. Sent emails keep the version they were sent under, so the audit log always shows what the recipient actually received, even after you have edited the template.

You can revert to a previous version under Templates → template → Version history → Restore.

Default templates

PropLink ships with templates for:

  • Account invitation.
  • ResidencePort invitation.
  • Invoice issued (debtor).
  • Invoice reminder.
  • Arrears letter (per workflow step).
  • Receipt confirmation.
  • Credit note issued.
  • Section 20 Notice of Intention.
  • Section 20 Statement of Estimates.
  • Section 166 ground rent notice.
  • Bill received (creditor).
  • Work order invitation (ContractorPort).
  • Work order award.
  • Ticket created acknowledgement.
  • Ticket reply.
  • Ticket closed.
  • Year-end pack.

Each one is editable. Most agents change the wording and signatures; few change the structure.

Multilingual templates

If your portfolio has residents whose preferred language is not English, add a language version:

    1. Open the template.
    2. Click Add language version.
    3. Pick the language.
    4. Translate the subject and body.
    5. Save.

PropLink picks the language version that matches the contact's preferred language. If none matches, the default English version is used.

Testing

Before publishing, preview a template against a real contact:

    1. Open the template.
    2. Click Send test.
    3. Pick a recipient (default is your own email).
    4. PropLink sends the template with merge fields filled from a sample record.

Test emails are clearly marked so they cannot be confused with the real thing.
