ResidencePort

ResidencePort is the self-service portal for the people who live in or pay for the buildings you manage. Leaseholders and tenants sign in, see what they owe, pay it, raise a request and read what is going on in the building. It runs on a per-organisation subdomain so it looks like part of your firm.

What residents can do

  • See the statement: what has been demanded, what has been paid, what is outstanding.
  • Download invoices as PDFs.
  • Pay an invoice by Direct Debit or card.
  • Raise a request that becomes a ticket in the admin app.
  • Read notices posted by the managing agent.
  • Access shared documents: leases, building rules, meeting minutes.
  • Update their contact details subject to the manager's confirmation rules.

What managers do

Most of the configuration happens once during setup:

  • Set the subdomain during organisation setup , your-org.residenceport.com.
  • Upload the logo and colours so the portal feels like part of your firm.
  • Decide which document folders are accessible to residents per site.
  • Decide which ticket categories residents can choose from when raising a request.
  • Configure the welcome email sent to new residents.
  • Invite residents.
    1. To invite a resident, open the contact in the admin app and click Invite to ResidencePort.
    2. PropLink emails the contact with a sign-in link.
    3. The resident sets a sign-in method, usually OTP via email.
    4. From then on, they sign in at your-org.residenceport.com whenever they need to.

What residents can and cannot see

Residents can see only what relates to their own units. They cannot see:

  • Other leaseholders' statements or balances.
  • The site's bank account details.
  • The general ledger or any other organisation-wide financial data.
  • Documents in folders not marked accessible to residents.
  • Tickets raised by other residents.

You decide, per site:

  • Which document folders are accessible.
  • Whether residents can see the service charge year-end pack automatically as soon as it is produced, or only after manager approval.
  • Whether residents can view announcements posted to the site.

Branding

ResidencePort uses your organisation's branding:

  • Logo on the top left.
  • Primary colour driving links and primary buttons.
  • Footer with your organisation name and contact details.
  • Email templates branded with your logo.

Payments through ResidencePort

When a resident clicks Pay on an invoice:

  • If GoCardless is configured, they are taken to a Direct Debit mandate or one-off payment flow.
  • If Stripe is configured, they are taken to a card payment page.
  • The receipt is recorded against their unit and the corresponding bank account in the admin app.

The whole journey, invoice raised, link to ResidencePort, payment, ledger entry, bank reconciliation, completes without anyone retyping a number.

Authentication

Residents sign in with email and a one-time password. No long-term password is required, though residents can optionally set one under their profile.

Sessions are device-bound. Signing in on a new device requires a fresh OTP.

Mobile

ResidencePort is mobile-first. A resident on their phone sees the same screens as a resident on a desktop, in a layout designed for one column and touch.

Coming soon

  • Pay with Apple Pay and Google Pay.
  • Set up a payment plan for residents in arrears.
  • Message the managing agent through a thread that lives on the ticket.
  • Receive maintenance scheduling updates when an event is planned for the building.
