Custom reports

For questions the pre-built reports do not answer, the custom report builder lets you compose your own. Custom reports are in Beta.

What you can build

Pick a record type to start (units, invoices, work orders, contacts, etc.). Then:

  • Choose columns from any field on that record or any linked record.
  • Apply filters across those fields.
  • Group by one or more dimensions.
  • Add aggregations: count, sum, average, min, max.
  • Sort.
  • Schedule for regular delivery.

Build a report

    1. Open Reporting → Custom → New report.
    2. Pick the base record.
    3. Add columns by dragging from the right rail.
    4. Add filters.
    5. Add group-by if you want totals per group.
    6. Preview the result.
    7. Save with a name.

Examples

  • Every unit where the leaseholder has not signed in to ResidencePort in 90 days.
  • Top 20 most-spent-on suppliers in the last quarter, by category.
  • Sites with no fire risk assessment in the last 12 months.
  • Tickets opened by category, by month, over the last year.

Sharing

Save a custom report as:

  • Private — visible only to you.
  • Team — visible to a named team.
  • Organisation-wide — visible to anyone with access to the data the report includes.

Scheduling

Custom reports schedule the same way as built-in reports. See Scheduling and emailed reports.

Limits during beta

  • Some complex joins are not yet supported.
  • Reports running over the entire portfolio over multiple years may time out; narrow the period or scope.
  • A small set of fields are not yet exposed.
