Add your first site

A site in PropLink is one property record, a block of flats, a commercial unit, a mixed-use estate, a single house. Sites contain buildings, floors, spaces and units. Sites are also where your service charges, ground rent, maintenance events and tickets live.

This guide creates the simplest possible site so you have something to work with. You can come back later and fill in everything else.

Before you start

  • The site's address and postcode. PropLink geocodes the address automatically.
  • The product modules the site needs (one or more of Block Management, Facilities Management, Building Safety, Lettings).
  • A site reference of your choosing: usually an internal code like GC-001.

Create a site

    1. Open Portfolio → Sites → Create site.
    2. Enter the name as it should appear on dashboards and PDFs, for example 17 Acacia Avenue.
    3. Enter your internal reference, for example GC-001.
    4. Enter the address. As you type, PropLink suggests matching addresses from Mapbox. Pick the right one to fill the postcode, latitude and longitude automatically.
    5. Choose which products the site sits in. You can tick more than one.
    6. Optionally, choose an estate to group this site with. If the site is part of a wider portfolio (for example a development of several blocks), assign it to an estate now. See Estates.
    7. Click Create.

You land on the new site's Summary page. The sidebar on the left shows every page the site has: Units, Buildings, Contacts, Files, Financials, Maintenance, Tickets and so on. Most are empty for now.

What just happened

PropLink created the site, geocoded the address, and registered the site against each product module you picked. Behind the scenes:

  • A Site record is created with a UUID, an organisation_uuid and the reference you entered.
  • For each product you ticked, a workspace record is created , BmSite for Block Management, FmSite for Facilities Management, LtSite for Lettings, HrbSite for Building Safety. These hold the product-specific metadata for the same site.
  • The site is added to your Portfolio → Sites list and any selected estate.
  • The audit log records you as the creator.

Add more detail later

You can edit any field from Portfolio → Sites → your site → Edit. Other pages let you build out:

  • Buildings, floors and spaces for the site's physical structure.
  • Units for the individual flats, houses or commercial units.
  • Contacts for the people connected to the site, the site manager, the freeholder, the directors of the RMC.
  • Files for documents, plans and certificates.
  • Insurance for buildings insurance records.

Importing many sites at once

If you are onboarding a large portfolio, use Portfolio → Sites → Import instead. Drop in a CSV and PropLink validates each row before committing it. See Bulk import sites.
