Upload a file

A file in PropLink lives in one or more folders and on one or more linked records.

Upload from anywhere

Most pages have a file upload button:

  • Site → Files → Upload for general site documents.
  • Unit → Files → Upload for unit-specific documents (lease, EPC).
  • Inside a record (work order, ticket, invoice) — drag and drop or click the paperclip icon.
  • Drag and drop anywhere on a record page.

Pick a folder

When uploading from Files → Upload, PropLink asks which folder to file under. The dropdown shows the standard folders for the record's site or unit.

When uploading from inside a record (a work order, a ticket), PropLink picks the right folder automatically (compliance for a certificate, correspondence for a letter).

Set the file's metadata

Each upload prompts for:

  • Title — defaults to the file name.
  • Description — optional.
  • Tags — for filtering and search.
  • Expiry date — for documents with renewal dates (insurance, certificates).
  • Visibility — staff only, or include in a folder visible to portals.

File size and types

PropLink accepts:

  • Documents — PDF, DOCX, XLSX, PPTX, TXT, CSV, MD up to 200 MB.
  • Images — JPG, PNG, HEIC, WEBP up to 50 MB.
  • Videos — MP4, MOV up to 500 MB.
  • Floor plans — DWG, GLB, USDZ up to 200 MB.
  • Archives — ZIP up to 200 MB.

Versioning

Uploading a file with the same name as an existing file in the same folder offers two options:

  • Replace — the new file becomes the current version. The old file is kept under version history.
  • Keep both — the new file gets a numeric suffix.

After upload

Once uploaded, the file:

  • Appears in the chosen folder.
  • Appears on the linked record.
  • Is full-text indexed for search (PDFs and Word documents).
  • Counts towards your storage quota (effectively unlimited on standard plans).
  • Is encrypted at rest by the platform.
