Outlook calendar sync
Connect your Microsoft 365 account and PropLink keeps a dedicated "PropLink" calendar in your mailbox up to date with your planner. Each user connects their own account — the sync only ever touches items assigned to you in your own organisation.
What syncs, and in which direction

Work order and maintenance dates are workflow and compliance driven, so they must be changed in PropLink; if you drag one in Outlook it snaps back within the hour.
Recurring tasks appear in Outlook with their recurrence. Completing or cancelling a task removes its event. Deleting an event in Outlook only detaches it from the sync — it never deletes anything in PropLink. Outlook-native events are not imported into PropLink.
Connect your calendar
- Open Settings and find Connected accounts.
- Select Connect Outlook Calendar — you are taken to Microsoft to sign in and approve access (calendar read/write only).
- You land back in PropLink and your current planner items appear in the new "PropLink" calendar within a few minutes.
Use the toggles on the same card to choose which item types sync, and Disconnect to stop — disconnecting removes the PropLink-created events from your calendar and discards the stored tokens.
Security
- PropLink requests the least-privilege Microsoft Graph scopes (
Calendars.ReadWrite,User.Read) via a per-user consent screen. - Tokens are encrypted at rest and never exposed to the browser.
- Connections, disconnections and any changes applied from Outlook are recorded in the audit log.
