Tasks
A task is the planner's own record: something you or a colleague needs to do, with a due date and a clear owner.
Create a task
- Open the Planner and select Create Task.
- Give it a title (for example, "Chase lift contractor for quote") and set the priority.
- Pick a due date, or mark it All day for date-only deadlines.
- Optionally set a reminder (at the due time, or 1 hour, 1 day or 1 week before) — it arrives as an in-app notification, plus push or email depending on your notification preferences.
- Optionally set Repeats — daily, every weekday, weekly, every 2 weeks, monthly, quarterly or yearly.
- Assign it to yourself or a colleague, and optionally link it to a site.
- Add checklist items for the sub-steps, then select Create Task.
Every task gets a reference (for example, PL-TSK-2026-0001) using your organisation's reference prefix.
Checklists
Tasks can carry a checklist of sub-steps. Tick items off from the task's detail view — the planner card shows progress (for example, 2/5).
Recurring tasks
When you complete a recurring task, the next occurrence is created automatically with the same details and the reminder shifted to match. The series ends when its end date or count is reached, or when you delete the current occurrence.
Arrears tasks
Arrears workflow steps can create follow-up tasks automatically. In the workflow builder, enable Create a follow-up task at this step, choose the assignee and how many days until it is due. When a case reaches that step, a high-priority task is created and linked to the case — you will find it on the case's Tasks tab and on the assignee's planner. Settling or cancelling the case cancels its open tasks.
Tasks from PropManager AI
Ask PropManager AI to "create a task to chase the lift contractor on Friday" and it proposes the task for you to confirm — nothing is created until you approve it.
