Spaces and rooms
A space is a discrete room or area on a floor. PropLink uses spaces to:
- Pin the location of assets in the FM asset register.
- Pin issues reported by residents and staff.
- Schedule cleaning, inspections and other space-specific maintenance.
- Track compliance items that attach to a place rather than a building.
Common space types
- Hallway and corridor.
- Lift lobby.
- Plant room.
- Refuse and recycling area.
- Garden.
- Car park bay.
- Cycle store.
- Substation.
- Communal lounge.
- Roof terrace.
Create a space
- Open the floor where the space sits.
- Click Spaces → Add space.
- Pick the type.
- Name it (for example Plant room 1).
- Optionally add square metres.
- Save.
Linking maintenance to a space
When raising a maintenance event or work order, pick the space:
- Annual fire damper inspection in Plant room 1.
- Daily cleaning of Block A hallway.
- Monthly check of refuse area.
Reports can then aggregate maintenance by space type ("show me everything we do in plant rooms across the portfolio").
Site walks
The Facility Report mobile app's planned site-walk mode (coming soon) walks the user space-by-space, prompting for inspections to mark complete. Spaces are the units of inspection.
