Set up your organisation

An organisation in PropLink is the top-level container for everything you manage: sites, units, contacts, vendors, ledgers, bank accounts and users. It is also your tenant boundary, no one in any other organisation can see or touch your data.

If you are the first user in a new organisation, the setup wizard runs the first time you sign in. If you are joining one that is already set up, you can skip this page.

Before you start

Have these to hand:

  • Your trading name and registered company name (they can be the same).
  • Your registered office address.
  • Your VAT registration number, if you are VAT-registered.
  • A clear idea of your financial year end, usually 31 March, 30 June, 30 September or 31 December.
  • Your trading currency. PropLink supports multi-currency, but pick a default.

Steps

    1. Sign in to PropLink. The first time you do, you land on the Set up your organisation wizard.
    2. Enter the organisation name as it should appear on invoices and emails. This is the trading name.
    3. Add the registered company details: registered name, registered office, company number and (if applicable) VAT number.
    4. Choose your organisation subdomain, for example goldcrest becomes goldcrest.proplinkcloud.com and goldcrest.residenceport.com. You cannot change this later without contacting support.
    5. Pick a default currency from the dropdown. Most UK customers choose GBP. You can add others later under Settings → Financial settings → Currencies.
    6. Set your financial year end. For example, choosing 31 March means the financial year runs from 1 April to 31 March.
    7. Set your locale. This drives date and number formatting across the application. Choose English (United Kingdom) unless you have a reason not to.
    8. Upload your logo. PropLink uses this on dashboards, PDF invoices, the ResidencePort branding and email headers. Recommended size 512 × 512 px, transparent PNG.
    9. Click Continue.

The wizard moves on to Choose your modules, see Turn on the modules you need.

What you have created

After the wizard, your organisation exists with sensible defaults:

  • An empty chart of accounts seeded with the standard property management ledger accounts.
  • A default tax rate for VAT at the current standard rate.
  • A default invoice template branded with your logo.
  • A default arrears workflow that you can customise later.
  • A default role that you, the creator, hold , Organisation Owner. This role has every permission.

Change anything later

Everything in this wizard can be edited from Settings → Organisation settings. The only fields you cannot change without support involvement are the organisation subdomain and the financial year start month, because they have downstream effects on URLs and locked accounting periods.
