PropManager AI
PropManager AI is the AI layer planned to sit on top of PropLink. Property managers will be able to ask questions in plain English, have actions drafted on their behalf, get predictive signals from the operational data and have a conversational assistant available across the admin app, ResidencePort and the Facility Report mobile app.
This page describes the design we are building to. Sales and engineering can use it as the canonical statement of intent. Specifics may change before release.
What PropManager AI will be able to do
- Answer portfolio questions
- Which sites have arrears over £5,000?
- Draft documents
- Draft an arrears letter to Mr Patel including the £450 outstanding and the 14-day deadline.
- Predict maintenance
- Spot patterns in the operational data, recurring lift faults, escalating water pressure issues, vendor performance trends, and surface them before they become emergencies.
- Summarise long records
- Compress a 30-message ticket thread into a paragraph for handover, or a 12-page service charge pack into a single page of headlines for an RMC director.
- Triage automatically
- Categorise inbound tickets and emails, suggest a priority, suggest an assignee. The human still confirms.
What PropManager AI will not do
- Take destructive actions without confirmation. Anything that would change ledger entries, send communications, void receipts or alter records will always be presented as a draft for human approval.
- Operate outside an organisation's tenant boundary. The AI sees only your organisation's data. There is no shared-model leakage between organisations.
- Replace human judgement on legal or regulated matters. Section 20 consultations, formal possession notices, tribunal submissions and similar high-stakes outputs will always be drafts that a human reviews and signs off.
The chat interface
PropManager AI will live in a panel that opens from the header of the admin app, ResidencePort and the Facility Report app. The conversation is context-aware:
- If you have a site open, questions are scoped to that site by default.
- If you are on a payment, the AI knows the payment context.
- You can broaden a question to "across the whole portfolio" whenever you need to.

Data privacy
The AI runs against your organisation's data only. No data crosses the tenant boundary, no data is used to train a model that any other PropLink customer benefits from, and no data is sent to a third-party model provider outside the agreed retention rules.
