Distribution: postage

The Postage tab under Distribution is your letters worklist. Whenever PropLink generates a letter — an arrears letter from a workflow step, a batch letter run, or an ad-hoc letter you compose — it lands here as To post until someone confirms it has gone in the mail.

The two views

Post a letter

    1. Open Distribution → Postage.
    2. Find the letter under To post and click Download letter to print it.
    3. Post the letter.
    4. Click Mark as posted.

Marking a letter as posted records your name and the exact time against the letter — the evidence you need if a leaseholder later disputes receiving an arrears letter or statutory notice.

Compose an ad-hoc letter

    1. Click New communication and pick Letter.
    2. Choose the contact — their postal address is taken from their contact record.
    3. Pick a document template, or write the letter content directly.
    4. Click Create.

Free-text letters are generated on your organisation's letterhead with the contact's address block and today's date, ready to print.

Print-and-post service

PropLink is built to hand your letters to a print-and-post provider — printing, enveloping and mailing them for you for a per-letter fee — without any change to this workflow. When the service launches, the Mark as posted step is replaced by an automatic dispatch to the provider, and the letter's cost and tracking reference appear on its record.

Audit trail

Each letter keeps its generated PDF, the recipient's address at the time of generation, who created it, and who marked it posted and when. Posted letters cannot be edited or deleted.
