Invite your team
PropLink can grow with your team. There is no per-user fee and no fixed seat count, add everyone who needs to use the platform.
Every user has a role (what they can do) and an access scope (which sites and entities they can see).
Built-in roles
PropLink ships with a handful of roles you can use without configuring anything.

| Administrator | Senior managers, partners | Everything except billing. |
| Manager | Block managers, estate directors | Read and write across all sites in their scope. Cannot change organisation settings. |
| Accountant | Finance team | All financial workflows. Read-only on operational records. |
| Site Manager | On-site staff | Read and write on their assigned sites only. |
| Read Only | Auditors, observers | Read-only across their scope. |

Invite someone
- Open Settings → Users and access → Invite user.
- Enter the person's email address, first name and surname.
- Choose a role from the dropdown.
- Choose an access scope:
- All sites, the user sees every site in the organisation.
- Selected sites, pick the sites they should see. Useful for portfolio teams.
- By estate, give them every site under one or more estates.
- Optionally, add a welcome message that appears in the invitation email.
- Click Send invitation.
The user receives an email with a link that is valid for 14 days. When they click it, they go through Accept your invitation.
Resending an invitation
If a user has not accepted within a few days:
- Open Settings → Users and access → Pending invitations.
- Find the row, click the actions menu and pick Resend.
- The invitation is reissued with a fresh 14-day expiry.
Deactivating a user
People leave. To revoke access:
- Open Settings → Users and access and find the user.
- Click the actions menu and pick Deactivate.
- The user is signed out everywhere immediately. Their audit history is preserved.
Deactivated users can be reactivated later from Settings → Users and access → Deactivated users. Permanently deleting a user is not supported, because the audit trail relies on the user record existing.
