Scheduling and emailed reports
Any PropLink report can be scheduled to run on a recurring basis and emailed to a distribution list.
Schedule a report
- Open the report.
- Apply the filters you want the scheduled run to use.
- Click Schedule.
- Pick the frequency: daily, weekly, monthly, quarterly, annually, or custom cron.
- Pick the time of day.
- Pick the format: PDF, Excel, CSV.
- Add recipients by email address or user.
- Add an optional covering note that appears in the email body.
- Save.
When PropLink sends
The schedule runs in your organisation's local time (set under Settings → Organisation settings → Locale). The report is built freshly each cycle from current data.
If the report run fails (data unavailable, validation error), PropLink notifies the schedule owner and retries automatically.
Common schedules
- Daily aged debtors to the operations team.
- Weekly portfolio summary to senior managers every Monday morning.
- Monthly compliance status to the auditor on the first of the month.
- Monthly site performance to client directors per site.
- Quarterly VAT report to the firm's accountant a week before the deadline.
Managing schedules
Open Reporting → Schedule → All schedules to see every scheduled report in your organisation:
- Enable or disable.
- Edit recipients.
- Change frequency.
- View the run history for each schedule.
Pausing a schedule
Going on leave? Pause a schedule and unpause when you return:
- Open the schedule.
- Click Pause.
- The next run is suppressed.
- Click Resume to start the schedule again.
Audit trail
Every scheduled run is logged with the recipient list, the timestamp and the file size sent. Useful for proving you have been sending the year-end pack or the compliance dashboard on schedule.
